In ksrm, it's easy to create and manage calendars for individuals, rooms and equipment for a single location or for multiple locations.
00:09
For instance, a provider can work at two locations, alternating shifts between the two.
00:14
In this video, we'll walk you through creating and making changes to your calendars.
00:18
Let's begin in the Calendar module, head to Settings.
00:23
The Calendars tab is selected by default in the panel on the left.
00:27
Note that provider calendars already appear in the list.
00:30
That's because they are created automatically at the time new team members with the Provider team member type are added.
00:36
However, if you need to create a calendar for an existing team member in another location, or you want to manage schedules for rooms and equipment, you'll need to create new calendars.
00:46
To create a new calendar, click Add Calendar.
00:50
If creating a calendar for a team member, then click Connect a team Member and select a team member from the dropdown list.
00:57
Otherwise, when creating a calendar for room or equipment, do not link it to a team member and start by entering the calendar name.
01:10
If you want to allow clients to book in this calendar online, toggle the Enable for Online Booking option on the system automatically repopulates the online Booking name field.
01:20
However, you can change it to how you want your clients to see this calendar name.
01:26
When you want to tell people about this calendar, for example a provider bio.
01:29
Use the Description box to share information with your clients.
01:35
Next, select the location where the calendar belongs and choose the calendar type such as Individual room or equipment.
01:45
Then click Add Discipline and choose a discipline.
01:49
This tells the system what types of sessions are allowed to be booked in this calendar.
01:54
You can add one or more disciplines.
01:56
For example, you may want to schedule acupuncture and massage therapy sessions in this calendar.
02:02
Don't worry about making mistakes because you can come back here anytime and make any changes needed.
02:08
Finally, click Save and your calendar is now active.
02:13
In order to book in this calendar, you must first create shifts availability, and that's covered in the following section.
02:20
There are a few more details we need to go over before wrapping up this video and that's granting access to others and archiving calendars.
02:27
By default, the calendars are accessible only to the management team and the team member linked to the calendar.
02:34
This means that one provider cannot access the calendar that belongs to another provider.
02:39
However, if this needs to happen, you can do so.
02:43
Open a calendar that you want to share with another person.
02:47
Click Options, then click Access Options.
02:51
Then click Grant Access.
02:54
Select a user from the drop down menu and make sure the permission level is set as desired the system defaults to a more restrictive view permission.
03:04
However, you can elevate this permission to book if you need this person to book in this calendar as well.
03:11
By the way, this is where you go to revoke access if you don't want this person to be able to book in this calendar anymore by clicking the Remove option, then clicking Done.
03:21
your access option changes are applied in this calendar automatically.
03:26
When the calendar is open, click Options, then click Archive.
03:32
Click Archive on the confirmation screen, and that's how you remove calendars that you no longer need.
03:39
Keeping your calendar neat.
03:40
If you ever need this calendar back, simply unarchive it.
03:46
It's time to proceed to the next training video and open up.
